Automating Training Assessment and Compliance Using LimeSurvey

An independent English language trainer required a structured and auditable process to support Qualiopi certification requirements.

There was no existing system in place:

• No centralised method for initial learner assessment
• No consistent process for collecting required feedback
• Reliance on manual or ad-hoc approaches (email, documents)
• Increasing administrative overhead as the number of learners grew
• Requirement to provide a clear audit trail for certification reviews

A reliable, repeatable system was needed to manage assessments and feedback across the full lifecycle of training.

Self-hosted LimeSurvey deployment on managed infrastructure and worked closely with the client to design a structured set of questionnaires aligned with Qualiopi requirements.

Key elements:

• Deployment and configuration of LimeSurvey on a Linux-based hosting environment
• Design of questionnaires for:
  - initial learner assessment (“test de positionnement”)
  - post-training feedback
  - 6-month follow-up evaluation
  - early termination feedback (for learners who leave training early)
• Conditional branching within surveys to capture additional information (e.g. PSH-related questions where applicable)
• Branding customisation to align with the client’s identity
• Support during Qualiopi audits, including clarification of system behaviour and data capture

• Successfully used in two full Qualiopi audits and one intermediate audit
• Established a clear, auditable trail of timestamped assessments and feedback
• Simplified administration through token-based survey distribution
• Centralised storage of learner assessments and feedback history
• Reduced reliance on manual processes and document handling

The result is a practical, low-overhead system that supports compliance while remaining easy to use on a day-to-day basis.
